Development Coordinator, Major Gifts, Faculty of Arts and Sciences
Job Description
Alumni A?airs and Development (AA&D) comprises the University Development O?ce (UDO), Faculty of Arts and Sciences (FAS) Development, AA&D Resources, and the Harvard Alumni Association (HAA). There is a unique relationship between the University and the FAS fundraising operations, resulting from a long history in which University fundraising ultimately grew out of College fundraising.
Faculty of Arts and Sciences (FAS) Development
FAS Development is responsible for the fundraising e?orts supporting the Faculty of Arts and Sciences, including Harvard College, the Harvard John A. Paulson School of Engineering and Applied Sciences, and the Graduate School of Arts and Sciences. FAS Development sta? work with Harvard College donors, alumni, parents, and friends who provide critical support for the FAS and often for other parts of the University.
Summary:
Critical member of the fast-paced, mission-oriented Major Gifts team for the Faculty of Arts and Sciences responsible for coordinating high-level prospect activities in partnership with the Executive Director, management team and gift officers. Opportunity to drive strategic approach to the prospect pipeline enterprise through leadership of daily operations, effective administration, organization of data, and clear communications supporting major gift fundraising.
Position Description
- Responsible for collection and organization of ideas geared toward planning of meetings including gift officer breakout sessions, Weekly Ramp Up, Top25, OMG Leadership Team, retreats, proposal pipeline review
- Responsible for agenda creation for meetings in partnership with managers and inclusion of organizational partners as directed
- Create notes and timely distribution for each meeting, focusing on completion of identified action items
- Help drive proposal pipeline development and maintenance and activities that support review and audit
- Partner with managers and fundraisers to identify efficient processes to review data and present it, include additional partners or teams as needed, and identify areas for improvement or change
- Act as liaison with internal partners to maintain process for pulling monthly data sets, sharing with leadership team and presenting in clear format with fundraisers
- Act as liaison with internal partners to maintain process for engagement with academic divisions including prospect pipeline review, communications regarding upcoming meetings and activities, and delivery of information to leadership team
- Coordinate with Prospect Management and Operations teams, frontline fundraisers, and staff assistants to ensure consistent application of Prospect Management Policy (PMP) and ad-hoc prospect-related projects
- Lead plan for periodic training of officers and staff assistants on PMP and its application in the Advance database
- Master current, and help develop new, reporting to manage all prospect activity and corresponding data
- Conceptualize and create presentation materials for managers
- Partner with Major Gifts leadership team, Prospect Management and Operations teams to help manage data and make decisions informed by the data
- Handle wide range of confidential materials, including a variety of correspondence and meeting materials
- Develop periodic training on SharePoint, Teams, and the Source and focus on ensuring all platforms are up to date and organized logically
- May perform other related job duties as required.
Basic Qualifications
- Minimum of three years related administrative experience
- Experience using Microsoft Office software, especially PowerPoint and Excel
- Must occasionally work additional evening and weekend hours
Additional Qualifications and Skills
- Two to three years related executive administrative and coordination experience preferred, including experience supporting senior/executive level staff
- Demonstrated commitment to organizational values including diversity, equity, inclusion and belonging
- Experience and proven success with project management
- Ability to multi-task, prioritize and work in a fast-paced environment with tight deadlines
- Excellent verbal and written communication skills, problem solving, organizational and analytical skills and ability to make decisions and anticipate needs
- Driven and self-sufficient individual with ability to proactively collect necessary tools and information to succeed in the role
- High level of discretion, confidentiality, and attention to detail
- Ability to view tasks through various lenses and switch easily from big picture to more detailed scope quickly
- Dedicated team player with strong customer service orientation
- High level of professionalism necessary, with the ability to work with individuals at all levels of the organization
- Creative, flexible, and innovative team player who brings energy and enthusiasm to the position
- Ability to work independently and as a member of teams and committees
- Knowledge of Advance database helpful but not necessary, excellent knowledge of Microsoft Office software
