Office Location: New Jersey
Introduction:
Our client, a very established non-profit has a need for a full-time Executive Assistant to join their growing team. This candidate will be reporting to the CEO of the company. This candidate will provide a full range of administrative and secretarial support to the CEO. The ideal candidate must have organization and attention to detail. Most importantly, the ideal Executive Assistant will be professional, upbeat, outgoing and have a can-do attitude as well as a respect for time and scheduling.
Key Responsibilities:
Manage fast-paced scheduling to ensure the CEO is available to meet corporate priorities and s chedule and prepare for meetings by:
Coordinate travel and accommodation arrangements Firm-wide to ensure approved vendors are used and adherence to company policies.
Prepare necessary reports and format to ensure necessary information is provided in an easily accessible and clear manner
- Preparing meeting documents, pre-meeting communications attendee notifications and agendas
- Maintaining a record of meeting minutes and action items.

- Must demonstrate strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners
- Board support and Liaison
- Maintains discretion and confidentiality in relationships with all board members
- Participate and attend important meetings with CEO
- Must be willing to travel when needed to support CEO
- Create and edit summaries and letters as needed
Executive Assistant Requirements:
- Must be fluent in English & Spanish
- Driver’s license is required
- Prior experience supporting C-Level executives, preferables in a non-profit organization
- Experience and interest in internal and external communications, partnership development and fundraising
- Excellent communication (verbal and written) skills
- Ability to create summaries and letters as needed.
- Creative and forward looking thinker, who actively seeks opportunities and proposes solutions
- Ability to work under pressure and meet deadlines
- Ability to work effectively independently
- Must have the ability to communicate with clients and other professionals.
