Institutional Giving Coordinator

ORGANIZATIONAL BACKGROUND:

The Women’s Refugee Commission (WRC) is dedicated to improving the lives and protecting the rights of women, children, and youth displaced by conflict, climate change, and crisis worldwide. WRC has been at the forefront of efforts to reach vulnerable populations for over 30 years, from helping craft the UN High Commission for Refugees’ first policy on protection of refugee women to leading the Welcome with Dignity Campaign to defend the rights of asylum seekers coming to the US. WRC conducts research on the challenges faced by refugees; identifies and implements innovative solutions with field partners; and advocates for policy change to transform humanitarian practice. Our expert team focuses on migrant rights and justice; sexual and gender-based violence; access to high-quality reproductive health care; refugee economic empowerment; and gender equality and social inclusion for persons with disabilities and LGBTQI+ populations. In 2023, WRC is embarking on a new five-year strategic plan and is seeking an institutional giving coordinator to support institutional partnerships that will help accomplish our vision of a better world for refugees.

SCOPE OF WORK:

The institutional giving coordinator (IGC) will play a key role in the Women’s Refugee Commission’s institutional fundraising operations as a member of a three-person team.

Under the supervision of the grants manager, the IGC’s responsibilities will be operational and will provide essential infrastructure and administrative support for our institutional fundraising portfolio, which includes foundations, governments, and multilateral entities. Day-to-day activities of the IGC will include preparing agendas; meeting coordination and minute-taking; preparing reports, presentations, and other targeted materials; tracking grant application and reporting deadlines; and database management.

ESSENTIAL JOB FUNCTIONS:

  • Provides administrative support to ensure productive and efficient Institutional Giving operations and improve the department’s/team’s workflow.

  • Organizes and coordinates schedules, activities, and meeting notes for internal meetings, including proposal and awarded grant kick-offs, Institutional Giving-program regular meetings, and ad hoc meetings related to the pursuit of grant opportunities.

  • Updates project management tools, trackers, platforms, and calendars consistently and accurately.

  • Enters and maintains accurate and complete prospect and donor data in the development databases (Raiser’s Edge, grants management tools).

  • Maintains updated files on institutional funders and prospects.

  • Supports projects related to institutional donor solicitation, cultivation, stewardship, and retention.

  • Coordinates with the Individual Giving team on database use, donor-facing communications materials, event planning and follow-up, and other duties as assigned.

  • Provides administrative support as needed to team members, including expense authorizations and reimbursement invoices.

  • Supports cross departmental collaborations on fundraising and other organizational efforts.

REQUIREMENTS:

  • Bachelor’s degree required.

  • 2-3 years work experience, or combined university and work experience, with development or humanitarian assistance organizations.

  • Familiarity with institutional donors, preferably including government funders.

  • Excellent written and oral communication skills with proven ability to write, edit, and organize thoughts in a clear, concise, and well-organized manner.

  • Flexible, positive attitude, with proven ability to work productively with diverse teams and independently.

  • Excellent organizational and analytical skills, with proven ability to prioritize projects and follow through with attention to detail and high-level accuracy.

  • Demonstrated ability to handle sensitive information in a confidential manner.

  • Strong computer skills and proficiency in Microsoft Office and remote platforms (e.g., Zoom).

  • Knowledge of Raiser’s Edge highly desirable.

  • Eligible to work in the US.

  • Located in the New York City Metropolitan area.

Reports to: Grants Manager, Institutional Giving

Position: Regular, full-time

Salary: Up to $63,600 (commensurate with experience)

Location: New York, NY (Hybrid schedule)
