Center of Family Love (CFL) is a non-profit 501(c)(3) organization that provides residential and employment programs for adults with intellectual disabilities by cultivating their interests, skills and independence to live creative, productive and joyous lives.

Position

The candidate will be comfortable working both independently and collaboratively within a small, close-knit team, and thrive in a fast-paced, deadline driven environment. Must have a positive. Be able to Motivate, Innovate, have Grit, Honesty, Trust and a can do Yes attitude. The successful candidate must be able to communicate effectively with a diverse range of stakeholders. Additionally, the Coordinator responsibilities include recruiting and training new volunteers, keeping a record of volunteer information and skills, matching volunteers to opportunities that suit their skills, keeping volunteers informed, securing all supplies needed for the volunteer project, and conveying the volunteers’ experiences to internal departments, coordinating the planning, implementation, and execution of all volunteer activities as well as organizing special events and managing volunteers while supporting the Philanthropy department to help advance the organization’s mission. This role requires a focus on organization, quality of work, follow-through, and attention to detail.

A successful Coordinator should be meticulous about keeping records and passionate about CFL residents and volunteer experiences. Uphold the values of our organization while ensuring the comfort of our volunteers in their positions.

Build and manage database list generating and reporting fundraising activities, interact with donors, and help maintain excellence care and detail of our donor database systems; to support the Philanthropy team with donor correspondence, interdepartmental collaboration, and administrative skills; to complement the CFL Team with a heart of service, integrity, humility, and perseverance.

* Due to the nature of the position, some irregular work hours and some nights and weekends will be required on occasion.

Qualifications:

Bachelor’s degree in hospitality or similar field preferred.

2+ years of experience in the event/volunteer planning

Superior organizational and time management skills, great with details, and in internal drive to take responsibility for their work.

Team player with ability to initiate as well as implement plans.

Exceptional people skills and problem-solving skills

Excellent written and oral communication skills.

High proficiency and coachability in databases and reporting; specific experience with Blackbaud, Greater Giving or other cloud-based donor CRMs preferred.

Proficient in Microsoft Office with high proficiency in Excel

Regular onsite attendance is required.

Availability to work weekends and after business hours.

Must have a valid driver’s license and access to a private vehicle for business use.

Responsibilities:

Volunteer Responsibilities:

  • Organizing and supervising all volunteers at the organization.
  • Collecting volunteer information, availability, and skills, and maintaining an up-to-date record.
  • Coordinate all volunteer onsite activities with department heads/directors.
  • Matching volunteers to opportunities that suit their skill sets, and ensuring they understand their responsibilities and receive the proper training.
  • Maintain calendar and produce schedules for volunteer activities.
  • Assign responsibilities to the right people for the volunteer experience.
  • Communicate in advance to all directors, staff, and volunteer(s) the written expectations and plan for each volunteer experience.
  • Collect all necessary paperwork from the volunteer group.
  • Release form, background check. List of all volunteers with contact information for each.
  • Organizing and maintaining schedules and records of each volunteers' work.
  • Keep an updated list of opportunities and volunteer needs on campus.
  • Communicate in detail to volunteer contact ‘what to expect’ day of the event. (Minimum five days in advance)
  • When and where to meet.
  • Who to contact for the day of with needs.
  • What to wear.
  • Orchestrate excellent hospitality by communicating with volunteers to ensure they are satisfied and well placed throughout their time here on campus.
  • Coordinate all volunteer needs for events
  • Attend all event committee meetings
  • Maintain list of volunteers available for specific events
  • Confirm volunteers are still available
  • Assign tasks for each volunteer
  • Train and prepare volunteers for tasks assigned
  • Communicate with volunteers, prior to and day of events, all needs and expectations.
  • Keep track of operational calendar including contracts, etc.
  • Facilitate internal and external volunteer efforts.
  • Work close with the Event Manager and Gala committee for Gala support with volunteers.
  • Coordinate monthly Mass services.

Donor Data Specialist

Administration Responsibilities:

  • Work with Director of Philanthropy to run appropriate financial reports.
  • Respond to phone calls and emails relating to donations, donated items, and support donors with financial support.
  • Assist with all mailings.
  • Send out system thank you notes after each deposit.
  • Do any necessary paperwork for matching donations with employers.

CFL Financial Responsibilities:

  • Record donations daily (Checks, Credit Cards, Cash)
  • Input all donations into Blackbaud.
  • Manage all donations through Blackbaud.
  • Collect and enter receipts from credit card transactions and manage expense reports from CFL philanthropy staff.
  • Enter data into Blackbaud and Greater Giving databases.

CFL Philanthropy Responsibilities

  • Support the Finance, Philanthropy, and Communication teams in providing accurate list generation from our donor database to utilize for all marketing and fundraising activities such as emails, mailed donor appeals and communications, and marketing campaigns.
  • Provide Philanthropy team with accurate and regular reporting of donor data and giving for adequate analysis and use by directors in fundraising.
  • Provide great care and attention to updated and clean donor records and the overall data accuracy in our systems.

Philanthropy Department Donor Services Duties:

  • Provide general donor correspondence including assisting, thanking, and communicating with donors via phone, email, and written communication.
  • Support special event seating, RSVP’s and logistics for our annual fundraising Gala as well as other special events throughout the year.
