Job Summary
The person hired for this specific opening will serve as the Project Coordinator for Technology and Communications for GSCN’s Special Supplemental Nutrition Program for Women, Infants, and Children (WIC) projects. This Project Coordinator position will support the WIC team at the Gretchen Swanson Center by managing and executing technical assistance support and resource development utilizing their expertise in WIC, project coordination, communications, technology, graphic design, and technical writing. The Project Coordinator will manage the process and oversee the development of translating research insights into visual tools and technical assistance for diverse WIC audiences.

Job Duties and Responsibilities

  • Lead and provide oversight on all communication needs and technology assistance on the project, incorporating input from internal and external project partners into graphics, one-pagers, webinars, email campaigns, and other forms of technical assistance.
  • Serve as a primary point of contact between the Gretchen Swanson Center and one or more web portal/website solution partners and oversee program website development and maintenance.
  • Develop and facilitate both proactive and reactive technical assistance for the WIC community (e.g., WIC agencies and partners), including translating project learnings into digital resources for users.
  • Lead key internal/external project management and technical assistance resource development decisions based on user feedback and stakeholder needs.
  • Work with marketing and project staff at Gretchen Swanson Center and technical assistance and innovation partners to gather information for the technical assistance calendar of events; work with partners to keep related resources updated.
  • Lead all aspects of WIC Online Shopping partnerships and communication related to technical assistance, leading the timely dissemination of these messages, especially given the time-sensitivity nature of many of these communications.
  • Serve as key point person in relevant review of materials and resources including communication, review of materials/resources, triaging review to relevant team members, integrating team members recommendations/edits, and coordination of content to partners on special projects (e.g., new resources).
  • Oversee regular reviews, development, utilization, and updating of the project website and technical assistance resources, in collaboration with the Gretchen Swanson Center marketing team, WIC team members, external partners, and technology vendors.
  • Oversee scheduling, developing and disseminating meeting agendas, facilitating meetings, taking notes, overseeing action items, and contributing to relevant internal and external meetings.
  • Develop, utilize, and ensure functionality of project workplans and internal systems for the WIC team to track milestones and deliverables, assess risk, and support reporting.
  • Create and maintain project files in an organized fashion accessible to team members.
  • Serve in a supervisory role, as assigned.
  • Lead and/or assist in the planning, execution, and evaluation of virtual and in-person meetings, webinars, Q&A sessions, conferences, and convenings involving multiple organizations.
  • Effectively delegate and oversee resource management process by working with the Gretchen Swanson Center marketing team, copy editors, and other internal and external partners to manage the resource development process; coordinate, review, and track website resources and the review process.
  • Effectively delegate and oversee proofreading process for a variety of project communications for 508 compliance and style guide compliance.
  • Meet with the GSCN Associate Director on a regular basis to track project hours, budget, timelines, and workloads.
  • Other tasks as assigned.

Preferred Qualifications

  • Demonstrated ability to effectively multi-task, and manage complex, long-range projects.
  • Excellent interpersonal skills; extensive experience collaborating and communicating with teams, external partners, clients, vendors, and funders.
  • Bachelor’s or Master’s degree in a relevant field such as communications, web/digital design, and/or technical writing.
  • At least three to five years of experience in a project coordinator, project manager, and/or project specialist role.
  • Experience working on a WIC-related program or project.
  • Experience providing technical assistance and support.
  • Experience planning and implementing in-person and virtual meetings, webinars, conferences, and convenings.
  • Strong written and verbal communication skills; skilled at technical writing and graphic design.
  • High level of attention to detail.
  • Strong analytic, problem solving, and decision-making capabilities.
  • Strong organizational, planning, and time management skills.
  • Ability to multi-task and prioritize to meet deadlines.
  • Ability to work in a fast-paced team environment.
  • Ability to work effectively with remote team members.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook), virtual meeting platforms (e.g., Zoom), and publishing and design software (e.g., Adobe Illustrator, InDesign).

  • Maintain a productive, comfortable, and distraction-free remote work environment.
  • Comply with the GSCN work schedule.
  • Follow care and security standards for GSCN-issued equipment.
  • Supply your own Internet connection which allows for seamless communication for video conferencing.

Job Type
This is a full-time, remote position.

Travel
This position will include travel for client visits, conference attendance, staff retreats and meetings, and other promotional or networking activities.
