Planned Giving Officer (Hybrid Work Schedule)

Position Overview

The Planned Giving Officer (PGO) is an innovative, results-driven, organized professional who will work in conjunction with the AHS Planned Giving Manager to grow and retain membership in the Legacy Circle, AHS' planned giving program, by actively identifying, cultivating, soliciting, and stewarding donors. This will include interfacing with current donors, prospects, and allied professionals such as estate planning attorneys and financial advisors to educate them about Legacy Circle (LC) and Continuing Care (CC). The PGO will use problem solving skills, judgment and discretion to provide excellent customer service to all planned giving constituents. The PGO will also work with the Planned Giving Manager and Planned Giving Committee members to research, cultivate and market planned giving initiatives.

Essential Functions

  • Monitor AHS Legacy Circle email account, receive, review and respond to donor emails, telephone inquiries and written requests for Legacy Circle and Continuing Care information.
  • Maintain and manage a personal portfolio of 50-70 donors to cultivate, solicit, and steward for LC commitments as well as applicable annual and major gifts with a focus on YOY growth.
  • Schedule and conduct donor appointments for the purpose of stewardship and gift solicitation.
  • Steward donors during visits and tours, make thank-you calls, birthday calls and record notes. Gather information to be used in conjunction with donor testimonials and LC/CC marketing.
  • Record Legacy Circle and Continuing Care information in Raiser's Edge database. Maintain and report Legacy Circle membership numbers.
  • Prepare Legacy Circle and Continuing Care hard copy and electronic master files to include copies of Statement of Testamentary Provision, Continuing Care Program Agreement/Enrollment Form and Pet Profiles.
  • Partner with internal marketing team to create and maintain all LC/CC collateral materials, bi-annual LC newsletter, and external LC/CC ads.
  • Generate, print, proof and route for signature acknowledgement letters for LC membership and CC enrollment.
  • Attend and assist with Planned Giving Committee meetings, events and activities, to include setup, preparation of agenda, minutes, presentations, program materials and mailings.
  • Provide assistance to other members of the Development Team for special events and activities as needed.
  • Provide administrative support for special initiatives and activities as directed.
  • Other duties as assigned.

Education / Certifications / Licenses:

  • Bachelor's degree and minimum of two years in professional office environment preferred. Equivalent education/experience may be considered such as an Associate's degree in Paralegal Studies.


  • Knowledge of planned giving vehicles preferred.
  • Regular use of discretion and independent judgment.
  • Strong attention to detail and organizational skills.
  • High level of initiative and follow through.
  • Ethical, patient, and professional behavior and attitude.
  • Impeccable customer service skills.
  • Ability to work independently and proceed with minimum supervision.
  • Excellent time management skills and ability to work well under pressure.
  • Excellent interpersonal skills.

Knowledge / Skills / Abilities:

Language - Able to speak, read and write English. Excellent written and verbal communication skills.

Mathematical - Intermediate mathematical skills.

Technical - Strong computer skills, including Microsoft Word, Excel, Outlook. Experience with Raiser's Edge software is preferred.


Regular attendance, punctuality and access to reliable transportation required. Valid Driver's License. Must be available to occasionally flex work schedule for special events.

Work Environment / Physical Demands:

While performing the duties of this job, the employee is frequently required to stand, walk, sit, use hands to finger, handle, or feel objects, tools or controls, reach with hands and arms, climb stairs, balance, stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 20 pounds. The work environment characteristics and physical demands described here are representative of those an employee encounters while performing the essential functions of the job. There may be occasional wet floors, animal noises, odors, and dander. Most time will be spent in a typical air conditioned and heated office environment.
