Purpose of the Postion
 

The Director of Admissions is responsible for overseeing and supporting the Campus Admissions Staff at Ultimate Medical Academy (UMA). This role involves participating in departmental planning and executing strategic projects in collaboration with other UMA departments. The Director of Admissions ensures the execution of the campus's enrollment strategy in alignment with UMA’s policies, mission, values, federal and state regulations, and accrediting agency standards.
 


UMA is a nonprofit healthcare educational institution with a national presence. Headquartered in Tampa, Florida and founded in 1994, UMA offers content-rich, interactive online programs as well as hands-on training at our Clearwater, Florida campus.

  • Anticipated starting salary of $100,000; pay rate negotiable based on experience and qualifications

Key Responsibilities:
 
Functional:
  • Oversee the Campus Admissions Staff to ensure consistent and compliant execution of the admissions strategy.
  • Plan and deliver onboarding, initial training, and ongoing training for all campus admissions staff.
  • Analyze the campus admissions staff’s performance data to provide targeted coaching and professional development aimed at their growth and retention.
  • Document admissions processes and procedures, including any changes approved by the Campus President.
  • Regularly confirm the implementation of effective and efficient processes within Campus Admissions.
  • Analyze and synthesize reporting data to translate into actionable process and service improvements.
  • Collaborate with other directors and managers across the organization in regular meetings and on cross-functional processes or projects.
  • Ensure the consistent operation of assigned teams in accordance with UMA policies, federal and state regulations, and accrediting agency standards.
  • Implement and verify checks and balances in Campus Admissions activities to ensure accuracy of information provided to prospective students and prevent unrealistic expectations regarding their programs.
  • Perform other duties as assigned.
Business Leadership:
  • Plans, prepares, controls, monitors, and forecasts Business Units’ direct and/or indirect budgets
  • Drive strategic initiatives to achieve short and long-term financial objectives.
Team Member Leadership:
  • Reinforce a culture of student service and team member development.
  • Develop campus admissions staff with skills, experience, and values aligned with UMA’s needs and mission.
  • Support the hiring process for campus admissions staff as needed.
  • Complete appraisals for any assigned campus admissions staff in a timely manner.
  • Model UMA values and hold other team members accountable to the same.
  • Demonstrate personal honesty and integrity.
Support Institutional Initiatives:
  • Stay current on institutional goals, objectives, and progress.
  • Engage in institutional-sponsored activities and initiatives as appropriate.
  • Support organizational change initiatives and guide others through change.
  • Coordinate efforts between departments within UMA.
Compliance:
  • Demonstrates knowledge of, and carefully follows all applicable federal and state compliance requirements and regulations including those prescribed by the Department of Education, accrediting agencies, CIE, and internal UMA policies and procedures.
  • Effectively communicates compliance requirements to students and other staff as appropriate and quickly escalates any compliance concerns to the Compliance department.
 

Work Experience, Skills & Abilities:
 

Minimum Requirements:
  • Bachelor’s degree or equivalent combination of education and experience.
  • 5 years of experience in Admissions, including experience in a people-management capacity, or 5 years of experience in another setting with a proven track record of effective people management.
  • Strong interpersonal communication skills, both oral and written.
  • Ability to professionally communicate fluently in verbal and written English.
  • Experience with interpreting organizational reporting and identifying appropriate actions in response.
  • Excellent time management and organizational skills.
  • Ability to work effectively amidst competing priorities.
  • Utilization of advanced admissions software and CRM systems to track and manage admissions processes efficiently.
  • A focus on providing exceptional service to prospective and current students, ensuring a supportive and welcoming experience throughout the admissions process.
  • Knowledge of and adherence to applicable regulations and compliance requirements.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and other business tools such as Zoom and Microsoft Teams.
  • Ability to support and manage in a diverse and inclusive work environment.
Preferred Requirements:
  • Bachelor’s Degree
  • A minimum of 5 years of experience in Admissions, including experience in a people-management capacity, or more than 5 years of experience in another setting with a proven track record of effective people management.
  • Demonstrated track record of effective cross-functional collaboration.
 
Working Environment:
  • Primarily based in an office environment with standard office hours, but with flexibility for occasional extended hours during peak periods.
  • Regular interaction with admissions staff, faculty, prospective students, and other departments, fostering a team-oriented culture.
  • A mix of onsite presence and virtual engagements, including virtual meetings, webinars, and online recruitment events.
  • Occasional travel to attend recruitment events, conferences, and other professional development opportunities.
  • Flexibility to work evenings and weekends, as needed.
 
Physical Demands:
  • Requires long periods of sitting at a desk working on a computer.
  • Requires ability to travel up to 25% of the time.
  • Requires occasional bending, stooping, and squatting.
  • Requires occasional lifting of up to 10 lbs.
