Job Description: Managing Director, Professional Education

The American Diabetes Association (ADA) is seeking a Managing Director of Professional Education. Reporting to the Vice President, Research & Science, this position serves as the leader for all aspects of the planning and execution of the American Diabetes Association’s five-day annual hybrid Scientific Sessions, annual hybrid Clinical Update Conference, including direct responsibility for program planning and conference logistical operations.

RESPONSIBILITIES:

Scientific Sessions

  • Serves as staff lead for a 30-member health care professional volunteer program planning committee.

  • Works closely with the VP, Research & Science for scientific and strategic oversight, leads and advises the program planning committee throughout the year-long planning process to ensure the successful development of clinical and scientific education content in full compliance with continuing education accreditation requirements; organizes and facilitates the work of the program planning committee at one in-person meeting; facilitates the hosting of 60+ planning conference calls; provides direction, framework, and resources to meet program’s learning objectives.

  • Provides direct oversight of the logistical operations of the conference, both virtual and in-person, to include major vendors providing services (registration and housing, security, busing, audiovisual and decorating).

  • Administers an annual budget with income of ~$13 million and expenses of ~$4 million. Forecasts and analyzes expenditures and seeks cost-cutting measures to ensure expenses meet budget goals. Performs monthly audits and works directly with financial services to reconcile discrepancies.

  • Assesses program evaluation data to inform future program planning and innovation; researches and analyzes trends of other medical-based meetings to implement new initiatives.

  • Provides direct oversight to the management of the Abstract Program (3,000+ submissions) and faculty management program (~ 800 presenters/200 session chairs).

  • Collaborates on the artistic direction of meeting marketing campaign and communications; works in concert with cross-functional departments to produce internal/external collateral and materials required to promote the meeting through electronic, social media, print, marketing, and web-based channels.

  • Issues vendor Requests for Proposals; reviews and analyzes submissions for consideration, negotiates service contracts and manages contracts on an on-going basis.

  • Supervises a staff team in the day-to-day planning and execution of the conference, mentoring and providing ongoing training.

  • Provides direct oversight onsite and online of all aspects of the hybrid conference, working with cross-divisional staff to ensure the success of each component of the conference; identifies and troubleshoots challenges and executes immediate adjustments. Trains and leads a team of 15-20 cross-departmental staff who directly support the onsite and online execution of the conference.

QUALIFICATIONS:

  • Minimum 10-year experience working in a non-profit organization facilitating the work of volunteer committees on the development and execution of educational programs; scientific and medical program planning experience preferred.

  • Experience developing and managing a multi-million-dollar budget.

  • Experience planning and executing in-person, virtual and hybrid meeting formats.

  • Demonstrated experience negotiating vendor contracts and managing vendors.

  • Ability to manage multiple tasks in a fast-based work environment.

  • Customer service focused with a history of establishing effective working relationships with a diverse range of internal and external key stakeholders.

  • Supervisory experience required.

  • Excellent verbal, written and problem-solving skills.

  • Proficiency in Microsoft Office applications.

Compensation range: $98,000 to $120,000 Max
