Job Description Summary

Provide administrative support to, and manage special projects for, the Chief Business Officer (CBO) and the VP Asset Management (VBAM). The person in this position will perform independently with limited supervision in a demanding, fast-paced, time-sensitive environment. The position requires a strong sense of confidentiality, as well as superior organizational, technical, and administrative skills.

Duties and Responsibilities

  • Manage CBO/VPAM schedules, calendars, and appointments including organizing and scheduling meetings as necessary.
  • Works closely and effectively with the leaders to keep them well informed of and prepared for upcoming commitments and responsibilities, following up appropriately.
  • Prioritizes conflicting needs; handles matters expeditiously and proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Assists in coordinating the agenda of senior management team meetings.
  • Composes, edits, and proofreads correspondence for internal and external use.
  • Prepares materials for internal meetings and presentations.
  • Assist leaders with the Concur system for travel and submit and reconcile expense reports via Workday portal.
  • Coordinate team/client events on and off-site, consisting, but not limited to meal coordination, hotel arrangements, conference room coordination,
  • Create and/or maintain spreadsheets, analysis and reports as needed.
  • Complete other tasks as requested, which may be complex and require anticipating needs or circumstances.
  • Maintain discretion and confidentiality in relationships with colleagues.

 

Work Location and Work Time

Enterprise Community Development has regional offices in Baltimore and Silver Spring. Enterprise also has offices in Columbia, Washington, DC, New York City, and satellite offices elsewhere. The Executive Assistant will be assigned a primary office location by their respective manager for regular in-person attendance and meetings. Video conferencing is used almost daily and on multiple occasions within a workday.

 

Every effort will be made to have a work week consist of 40 hours but given the nature of the property management business and its administrative requirements, additional work time will likely be required.

 

Experience, Education, Training and Qualifications

  • Bachelor's degree in Communications, Business, or a related field or equivalent work experience.
  • Five (5) to Seven (7) years' experience supporting C-Level Executives within in a large organization.
  • Advanced skills in Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint) and Adobe Acrobat.
  • Demonstrated ability to quickly learn technical platforms like Salesforce, Concur, and BlueJeans.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members and external partners.
  • Demonstrated strong written and verbal communication skills.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Highly resourceful team-player, with the ability to collaborate and work independently.
